How to Reward Points for Uploading Receipts

Let customers earn points by uploading receipts from your physical stores, Amazon or other marketplaces, then review and approve them in one place.

Introduction

With Upload a receipt, customers can earn points for purchases made outside your Shopify store. They upload a photo of a receipt or a screenshot of an order, you check the image and enter the order amount, and points are issued automatically at the rate you set.

Use it to reward purchases such as:

  • Receipts from your physical stores or retail partners

  • Order screenshots from Amazon or other marketplaces

Every submission is reviewed by a person on your team. Nothing is approved or rejected automatically.

Set up the Upload a receipt way to earn

  1. From the dashboard, navigate to Program > Points.

  2. Click on Add ways to earn points.

  3. Select Upload a receipt in the prompt.

  4. Set the earning rate: how many points customers earn per amount spent, e.g. 5 points for every $1. Points are rounded down to the whole currency unit.

  5. Optional:

    1. Edit the Name customers see on the card. You can set it for each language enabled in your store. If a language isn't set, the default language is used.

    2. Use the default icon or upload a custom icon.

  6. Confirm your settings and save the changes.

When you turn the activity off, the card is removed from the widget. Submissions you've already received are not affected.

Tip: The instructions and messages customers see in the upload panel, including error messages, are in the General section of your language settings. The widget and the Loyalty Hub each have their own copy, so update both if you want them to match. See How to Configure Multi-Language Display.

What your customers see

  1. The Upload a receipt card appears under Ways to Earn and shows your rate, e.g. "5 points for every $1 on the receipt".

  2. The customer picks one image and submits it.

    • Supported formats: JPG, PNG, HEIC (the iPhone default)

    • Maximum size: 10 MB per image

    • One image per submission. For long receipts or front-and-back receipts, customers submit each image separately.

    • On mobile, customers can take the photo with their camera directly.

  3. The submission shows as Pending.

  4. When you approve it, points are added and the customer receives a "You've earned X points" email.

Customers can track every upload under My submissions. Each one has a Receipt ID such as #REC-137, which they can quote when they contact you.

When an upload doesn't go through

Customers see a message right under the upload area and can try again on the spot. No submission is created in these cases.

Review submissions

From the dashboard, navigate to Program > Activity and open the Receipt review tab. Submissions are listed newest first.

Find a submission

  • Filter by status (All, Pending, Approved, Rejected), submission date or customer email.

  • Search by Receipt ID. #REC-137, REC-137 and 137 all return the same result.

Review a submission

  1. Click View on a row, or click Start review to work through pending submissions one after another.

  2. Check the receipt image. You can zoom in, drag to move around, and reset to the full image.

  3. Enter the confirmed Order amount. You can select text directly on the image and paste it into the field.

  4. Points are calculated automatically from the earning rate. Reviewers can see the number but can't edit it.

  5. Choose an action:

    • Approve: points are issued and the customer gets an email.

    • Reject: the submission is marked as rejected. No email is sent, and the reason isn't shown to the customer.

    • Skip (only with Start review): the submission stays pending so you can come back to it later.

Note: The Receipt ID (e.g. #REC-137) is created by CWILL Loyalty. It's different from any order number printed on the receipt itself.

How points are calculated

Points = confirmed order amount × earning rate, rounded down to the whole currency unit.

Example: with a rate of 5 points per $1, an order amount of $32.50 earns 160 points.

Points use the rule in effect when the customer submitted

When a customer submits, the earning rate in effect at that moment is saved with the submission. Every review, decision change and reissue for that submission uses the saved rate.

  • Changing your earning rate only affects new submissions. If you change from 5 points per $1 to 3 points per $1, submissions already waiting for review are still calculated at 5 points per $1. That's the rate the customer saw when they submitted.

  • Decision changes use the saved rate too. If a submission goes from Approved to Rejected and back to Approved, points are recalculated at the rate from the day it was submitted, not today's rate.

  • Turning off the activity doesn't affect existing submissions. You can still review and reward everything you've already received.

Changing a decision

If you approved or rejected a submission by mistake, open it with View. An approved submission shows a Reject button (with the points that will be reverted), and a rejected submission shows an Approve button.

  • You can only switch between Approved and Rejected. A submission can't go back to Pending.

  • To correct an amount, reject the submission, then approve it again with the correct amount.

  • Every change is added to the submission's history. Nothing is overwritten.

  • Customers aren't notified that a decision changed. They see a normal deduction or credit in their points history, and the status in My submissions updates.

  • Only store admins can change a decision.

Look up a customer's submissions

Open a customer's profile to see two separate views:

  • Points: the customer's points history. Approved receipts appear as "Upload a receipt #REC-137", along with any deductions from decision changes.

  • Submissions: every receipt this customer uploaded, with its status, points and submission date.

Common Questions

1. A customer says their receipt won't upload. Why isn't it in my Receipt review list?

The image was most likely already submitted to your store, possibly from another account. Duplicate uploads are blocked before a submission is created, so they don't appear in the list. Search by the customer's email to find their earlier submission.

2. Can a customer upload the same receipt again after it was rejected?

Not the same image file. Each image can be submitted only once per store, including rejected ones. If the receipt was rejected because the photo was blurry, the customer can take a new photo, which counts as a new image.

3. Is the duplicate check shared across stores?

No. Duplicates are checked within your store only.

4. Can I accept Amazon order numbers?

Not yet. For now, customers upload a screenshot of their Amazon or marketplace order, and you review it like any other receipt.

5. Do customers get an email when a receipt is rejected?

No. Emails are sent only when points are issued. Customers can check the status in My submissions.

6. Can I limit how many receipts a customer submits?

Not yet. There are currently no submission limits, minimum spend or receipt date requirements.

7. Can customers upload more than one image at a time?

Not yet. Each submission contains one image.

8. Can I export review records?

Not yet.
